• Contact details you submit in our forms: name, email address, phone or WhatsApp number, business name and the service or budget you selected.
• WhatsApp messages you send to our business number, including any media you attach, and message delivery status (sent, delivered, read).
• Phone call details and, where you are informed at the start of a call, call recordings and transcripts used for quality and follow-up.
• Website usage data such as pages viewed, referring source, device and browser information, collected through Google Analytics, Google Ads and Microsoft Clarity cookies.
• Billing information such as quotes, invoices and payment references. We do not store card numbers.

• To reply to your enquiry, send quotes and provide the services you requested.
• To contact you by WhatsApp, email, SMS or phone about your enquiry, booking or account, including automated follow-up messages and AI-assisted replies.
• To create and manage your record in our internal CRM.
• To issue invoices and collect payment.
• To measure and improve our website and advertising performance.

We do not sell your personal information, and we do not use your WhatsApp messages for anything other than serving you.

We process your information because you gave it to us to request a service, because it is needed to perform a contract with you, or because we have a legitimate business interest in following up on your enquiry. You may withdraw consent to marketing messages at any time by replying "STOP" on WhatsApp or SMS, or by emailing us.

We share the minimum information required with the service providers that run our systems: Meta (WhatsApp Business Cloud API), Twilio (SMS and voice), our AI voice and language providers for generating replies and call audio, Google (Analytics, Ads, Calendar), Microsoft Clarity, our email delivery provider, and our hosting and database provider. These providers process data on our instructions. We may also disclose information where required by law.

Some of these providers store data outside South Africa. Where that happens, we rely on providers that offer a comparable level of data protection to POPIA.

Enquiry and CRM records are kept for as long as you remain a client and for up to five years afterwards, or longer where tax and company law requires it for invoices. Call recordings are kept for up to 12 months. You can ask us to delete your record sooner.

Data is stored in access-controlled databases with row-level security, encrypted in transit, and reachable only by authorised staff accounts. Access credentials for third-party services are stored as encrypted secrets.

You may ask us to confirm what personal information we hold about you, correct it, delete it, or stop using it for marketing. Email info@trustedromeo.co.za and we will respond within a reasonable period. If you are not satisfied, you may lodge a complaint with the South African Information Regulator.

Our website uses cookies for analytics and advertising measurement. You can block or delete cookies in your browser settings; the site will still work.

Our services are intended for businesses and we do not knowingly collect information from children under 18.
